The guest experience
What does check-in look like for a guest?

In kiosk mode, the guest walks up to a shared tablet at the entrance. They type their name or ID into a search field — the list filters instantly as they type. They tap their name, confirm it is them, and sign on screen with their finger or a stylus. The whole process takes about 15 seconds. In registration desk mode, a staff member finds the guest in the admin panel and triggers the signature request. The kiosk screen then shows the guest their name and prompts them to sign.

Do participants need to download an app?

No. Everything runs in the browser. Guests interact with a shared tablet or phone at the entrance — nothing to download, no account needed. They just walk up, find their name, and sign.

How does a guest find their name on large events?

The kiosk has a search field that filters the participant list in real time as the guest types their name, ID, or organisation. Even on a 500-person list, typing two or three characters is enough to narrow it down to one result. There is no scrolling through a long list.

Can guests check in without signing — attendance only?

Yes. You can configure the event to require a signature, or to record attendance only with a simple confirmation tap. The report will show check-in timestamps either way.

Running the event
What is the difference between kiosk check-in and registration desk?

Kiosk check-in is self-service — the tablet sits at the entrance and guests find their own name and sign independently. No staff needed at the door. Registration desk mode requires a staff member at the admin panel who finds each guest and triggers the signature request manually. The guest then signs on the kiosk screen facing them. Registration desk gives more control; kiosk is faster for high-volume arrivals.

Does the organiser need to be present during check-in?

Not in kiosk mode. Once the event is open on the tablet, guests can sign themselves in without any staff involvement. The organiser can monitor arrivals in real time from the admin panel on any device — a laptop in the meeting room, for instance — while the kiosk runs unattended at the entrance.

Can I monitor check-in progress from a separate device in real time?

Yes. The admin panel updates in real time as guests sign in. Open it on your laptop, phone, or any browser while the kiosk tablet runs at the door. You can see who has arrived, who is still pending, and trigger actions — all without touching the kiosk.

What happens if a guest is not on the list?

The organiser can add participants directly from the admin panel at any time, including during the event. Once added, the guest appears on the kiosk immediately and can proceed to sign. Walk-ins are handled in a few taps.

Can I edit the participant list after the event has started?

Yes. You can add, edit, or remove participants from the admin panel at any point before or during the event. Changes appear on the kiosk in real time. In kiosk mode with no internet, any additions made offline will sync once the connection is restored.

What devices work as a kiosk?

Any device with a modern browser and a touchscreen — iPad, Android tablet, or a touch-enabled laptop. An iPad in landscape mode on a small stand works particularly well. The admin panel works on any browser including desktop. No specific app installation required on either device.

Does it work without internet?

It depends on the mode. In kiosk check-in mode, the participant list is cached on the device when you first open the event with wifi. If the connection drops during the event, guests can still find their name and sign — data syncs back when you reconnect. Registration desk mode requires an active connection, since the admin panel and kiosk screen communicate in real time across two separate devices. Our advice: open the event on the kiosk tablet before guests arrive, and kiosk mode will stay resilient to any drops.

Can I run multiple desks at the same event?

Yes, on Pro and Annual plans. Each desk gets its own kiosk screen and admin view, and all signatures feed into a single report. Useful for large venues with multiple entrances or separate rooms.

Setup and data
What file format do I need to import participants?

CSV or Excel. Download the template from the Participants tab to see the exact column format. Required columns are ID and Name. Organisation and any custom fields you have defined are optional.

What does the attendance report include?

Each participant's name, ID, organisation, check-in timestamp, and captured signature. Export as CSV or PDF immediately after the event ends. The data is yours — we do not use it for any other purpose.

How are signatures stored and when are they deleted?

Signatures are stored securely and accessible from the admin panel. Free plan: data is deleted 7 days after the event date. Starter plan: data is deleted 7 days after the event credit expires (credits are valid for 30 days from purchase). Pro and Annual plans: data is deleted 30 days after the credit or event expires. You will receive an email reminder before deletion. Always export your report before expiry.

Is Attenda GDPR compliant?

Yes. Data is stored securely and automatically deleted after the retention periods (7 days after credit expiry on Free and Starter, 30 days after credit expiry on Pro and Annual). You control your data and can export or delete it at any time. See our GDPR policy for full details.

Is it really free to start?

Yes. The free plan lets you run one event per month with up to 10 participants at no cost, no credit card required.

Can I use my own logo and colours on the kiosk?

Yes, on Pro and Annual plans. Upload your logo and set your accent colour in the event Advanced settings. The kiosk screen will show your branding instead of the Attenda logo.
